The building office for New York landlords.
Residents, maintenance, rent regulation, violations and filings, and property tax — in one login, instead of five city portals, a DHCR folder and a spreadsheet of leases.
Everything in BedRok.Pro, plus the New York layer. Sold as one bundle — nothing NYC-specific is an add-on.
The first building on it is one we own and manage.
BedRok.NYC runs a ten-unit rent-stabilized building in Brooklyn that our founder owns and manages himself. Every New York module here exists because that building needed it — which is why the renewal calculator handles preferential rent and the compliance page tracks HPD registration as three separate steps, rather than treating either as a checkbox.
The parts no national platform builds.
General property software stops at the city line. These are the modules a New York building actually runs on — included in the bundle, not sold separately.
Residents stop calling the super about paperwork.
Residents sign in to see their lease and documents, submit a request with photos, and read building notices. The request lands as a tracked work order on your side, with the photos attached — so the first thing you know about a leak isn't a voicemail.
- My lease, my documents, my requests — each resident sees only their own
- Requests with photos, converted to work orders with vendor dispatch
- Building notices posted once, read by everyone
- An AI assistant that files a request from a conversation — coming, not released yet
Legal rent, preferential rent, and the renewal that depends on both.
RGB rates by year, legal versus preferential rent, MBR/MCR for controlled units, SCRIE and DRIE. The renewal calculator works out the offer from the rates in force and the lease in front of it, and produces the RTP-8 rider from a form registry — so the number on the renewal is one you can show your work on.
- RGB rates by guideline year, applied to the right lease term
- Legal vs preferential rent tracked separately, not collapsed into one figure
- MBR/MCR for rent-controlled units, plus SCRIE and DRIE
- Renewal calculator, renewal-out workflow, and the RTP-8 rider
Violations find you before the city does.
HPD, DOB and ECB violations and complaints are pulled from NYC Open Data every night and attached to the building they belong to. Compliance items carry their certify-by deadline, and HPD property registration is tracked as what it actually is — three steps, not one box: pay the fee, file online, sign and mail.
- HPD, DOB and ECB violations and complaints, synced nightly from NYC Open Data
- Compliance items with certify-by deadlines, not just a list of what's open
- HPD registration tracked through all three of its steps
The DOF roll, the bills, and the RPIE — in the same place as the building.
Assessment roll figures from the Department of Finance, the estimate, and quarterly bills tracked as filings with their own due dates. The RPIE worksheet sits alongside them, so the income and expense numbers you file come from the same records you run the building on.
- DOF assessment roll, with the estimate alongside it
- Quarterly bills tracked as filings with due dates
- RPIE worksheet drawing on the building's own records
Capital improvements
IAI and MCI work, the DHCR filing it requires, and the increase it earns — flowing into the renewal offer rather than being worked out on the side. Built, in final verification.
External alerts
National Weather Service warnings, Notify NYC and alternate-side parking on the dashboard and the resident home page. Built, in final verification.
Ledger
Rent payments, expenses, income and cash flow. On the roadmap — not built yet, and we won't pretend otherwise.
Resident AI assistant
A resident describes the problem in their own words and the assistant files the request, with the right category and photos attached. Built, not yet released.
The same core underneath.
The New York layer sits on top of the platform the larger portfolios run on. None of this is a cut-down version.
Requests → work orders
Requests come in with photos, get triaged, and convert into tracked work orders with vendor dispatch.
Vendor portal, no fee
Vendors sign in by magic link — no password, and no charge to the vendor to receive or update work.
Approved-vendor rules
Per-property rules stop an unapproved or uninsured contractor being assigned where they aren't allowed.
COI tracking
Certificates of insurance with expiry emails, so lapses surface before someone is dispatched.
Inspections
Run inspections from templates, capture photos, and produce a PDF report.
Projects
Track projects with cost-to-finish alongside the day-to-day work orders.
Properties and units
The spine everything attaches to — properties, buildings, and the units inside them.
Leases and rent roll
Rent schedules, editable abstracts, rent roll, and a critical-dates export.
Reports and exports
KPIs, analytics, and Excel exports — current when you look at them, not assembled by hand.
Roles and SSO
Users, roles, and Microsoft Entra single sign-on through your own directory.
Your branding
Per-tenant branding, a vanity domain, and your own terminology throughout.
Audit log
An audit row on every change, so you can always answer who did what and when.
Four more, à la carte.
Everything above is in the bundle. These four are built and live, and you switch them on only if you want them.
Critical-date alerts
Lease expiries, renewal notice windows and COI expirations surface as alerts before they bite.
Preventive-maintenance schedules
Boiler service, filters, seasonal work — generated on schedule as real work orders, not reminders in someone's calendar.
SLA targets & vendor scorecard
Response and completion targets by priority, with overdue flags and a scorecard built from the work orders themselves.
Quotes & bid award
Send an RFQ with scope, collect bids with messages and revisions, and award the work with the exchange on the record.
The same guarantees on every line.
Row-level isolation, enforced
Separation between tenants is forced at the database row, not left to application code remembering to filter.
An audit row on every change
Changes are written to an audit trail as they happen — who changed what, and when.
SSO through your directory
Microsoft Entra single sign-on against the client's own directory, with a nightly roster sync so leavers lose access.
Read-only oversight
A read-only oversight role for people who need to see the portfolio without being able to change it.
We follow SOC 2-oriented practices and are happy to walk your team through architecture, access, and data handling. What we won't do is claim a certification we haven't earned.
Priced per building, after we've seen yours.
A ten-unit walk-up and a fifty-unit elevator building don't cost the same to run, and we'd rather quote what fits than publish a band you have to argue your way out of. Tell us what you own and we'll give you a number.
Talk to us →Bring us a building.
We'll pull its public record live on the call — violations, registration, the assessment roll — and show you what it looks like in one place. If your buildings are outside New York, we'll say so and point you at the right line.
- A 30-minute walkthrough
No slide deck. We open the product on a real New York building.
- Straight answers on regulation
What the renewal calculator does, and what it leaves to you.
- An honest read on fit
Including telling you if what you need isn't built yet.
